Deganwy Out of School Club

1. How do I book my child into Club?
You will need to call into Club and collect a parent Information pack which contains a Registration/Contract Form. This will need to be completed and returned to Club before we can take a booking. It will also give you the opportunity to chat with the Manager about availability, fees etc.

2. What age does my child need to be to attend Club?
The age range is 3-12 years.

3. Opening & Closing Times
After School Club – 2.45-6.00pm
Holiday Club – 8.15am-6.00pm

4. Payment
Fees are payable weekly in advance at the end of your child’s first session of the week (please tell the Manager if you would prefer to pay monthly). Fees can be paid by cash, bank transfer (HSBC Bank 61546031, sort code 40-30-07) or childcare vouchers. Monies will be banked by the Manager and receipts issued the following week.
Please note if your outstanding fees exceed £150 or your account is 2 months in arrears your child will not be able to attend Club until the payment is cleared. It is also expected that all fees are paid in full by the end of the academic year (August) to guarantee a place when children return to school in September.
Deganwy Out of School Club Limited is a not for profit company, however, if the Club’s income does not meet its expenditure, fees (with prior notification to parents) may be subject to increase within the school year.

5. Do I have to let you know if my child is off sick or not attending for any reason?
Parents/carers must notify the Club if a child will not be attending either due to sickness, personal holidays or for any other reason.

6. Do I have to pay if my child does not attend?
YES - Full fees will be charged if a child is absent for any reason. You pay to keep your child’s place.

7. Cancellation
After School Club day/s: Once a booking has been made, one months’ notice is required to cancel this booking, you will be charged full fees, (one off days cannot be cancelled).
Holiday Bookings: once you have booked sessions for the holidays/Teacher Training days, full fees must be paid even if the child does not attend or you change your mind.
One Off / Extra days: once you have made a booking, full fees must be paid even if the child does not attend or you change your mind.

8. Who can collect my child?
Only the named people on your Registration/Contract Form will be able to collect your child.

9. Late Pick-Up
If a parent is late collecting their child a late fee will be charged (£10 for every 15 minutes (or part thereof) you are late). No child will ever be left unsupervised because a parent/carer has failed to collect them. Should there be no response from all contact numbers and the child has not been collected by 6.45pm the Conwy County Borough Council Duty Social Worker will be contacted, and their advice sought.

10. What if my child has special dietary needs?
Parents are asked to notify the Manager in writing (“individual needs form” included in this information pack) if their child has any special dietary requirements and/or food allergies. This information will be made known to all staff.

11. Can my child attend if they are still in nappies?
No, children must be able to go to the toilet themselves.

12. Can my child bring their own toys?
In After School Club we do not advise children to bring their own toys/electronic items due to the number of children. But in Holiday Club they may bring in their own toys and if they do so it will be entirely at their own risk. These items are not covered by the Clubs insurance and the Club accepts no responsibility for any damage incurred.
